The first five minutes: why fast follow-up wins buyers
Here is something every principal knows but few offices act on: a buyer who sends an enquiry rarely sends just one. They enquire on three or four houses on a Sunday evening, and the agent who phones back first usually gets the viewing.
That doesn't mean the slower agents are lazy. It usually means the enquiry sat in an inbox, or on a phone in someone's bag, while the agent was busy with a show day.
Why the first call matters so much
When a buyer has just sent an enquiry, the house is still on their screen and the excitement is real. An hour later they're cooking supper. By the next morning they've had two calls from other agents and booked viewings with them.
The first agent on the phone also gets the most useful conversation: what the buyer really needs, whether they're pre-approved, and what else they're looking at. That conversation is worth more than the listing they asked about.
A follow-up routine that fits a small office
You don't need a call centre. You need a few rules everyone follows.
Same hour: a real reply
Phone if you can. If you can't, send a short personal WhatsApp: "Hi Lerato, it's Sipho from the agency. Thanks for asking about the house in Langebaan. Are you free for a quick call this afternoon?" A name and a question beats a template.
Day 1: the call that counts
Ask three things: what they need, when they want to move, and how they'll pay. Write the answers down where the rest of the office can see them.
Day 3: something useful
Send two or three other homes that match what they told you. It shows you listened, and it keeps you ahead of the agent who only talks about one listing.
Day 7: check in
A short message is enough: "Still looking? Two new listings came in this week." Many buyers go quiet for a week and come back ready to view.
Make it nobody's memory
The routine only works if no enquiry depends on one person remembering it. Put every lead on one list with an agent's name and the next step, and look at that list every Monday.
A lead without a name and a date next to it is a lead that will be forgotten.
