Going paperless in a small estate agency: where to start
Ask any principal what eats their week and paperwork comes up quickly. Mandates, mandatory disclosure forms, FICA documents, offers to purchase, trust account records: a single sale can produce a thick file, and a small office handles dozens of them a year.
The goal isn't "zero paperwork". Some documents simply have to exist, and the law decides how long you keep them. The goal is less chasing, less printing and nothing lost.
Start with the documents you handle most
The mandatory disclosure form
Under the Property Practitioners Act, the seller's disclosure form has to be completed and signed, and it forms part of the sale agreement. On paper, that often means printing it, driving it to the seller and scanning it back in.
A digital version saves the trip: the seller fills it in and signs on their phone or computer, and the signed copy is stored with the listing straight away.
FICA documents
Estate agencies are accountable institutions under FICA, so you need to verify clients and keep the records for at least five years. That is a lot of ID copies and proof-of-address letters in a filing cabinet. Keeping them in one secure, organised place (and not in agents' personal WhatsApp chats) makes them easier to find and safer under POPIA.
Templates for everything you write twice
Letters to sellers, viewing confirmations, offer cover notes: if you type it more than twice a month, make it a template. It saves time and every client gets the same professional standard.
A simple three-step plan
- Pick one document (the disclosure form is a good start) and take it digital for every new listing this month.
- Choose one home for documents, a shared vault the whole office uses, linked to the client or the listing. No more "it's on my laptop".
- Agree on naming, for example Surname, Address, Document type, so anyone can find a file in seconds.
Going paperless is less about software and more about everyone saving things in the same place.
