Why small estate agencies lose leads (and how to stop it)
Most small agencies don't lose buyers because they are bad at selling. They lose them because an enquiry arrived on a busy Saturday, nobody wrote it down, and by Tuesday the buyer had viewed three houses with someone else.
I've spent the last few weeks speaking to principals up and down the West Coast, and the story is almost always the same: enquiries arrive in five different places, and nobody has the full picture.
Where leads go missing
Think about how a single buyer can reach your office today:
- A portal enquiry lands in someone's email inbox
- A WhatsApp message goes to an agent's personal phone
- Someone phones the office and leaves a message
- A walk-in chats to whoever is at reception
- A buyer fills in the form on your own website
Each of those works on its own. The problem is that they don't add up to one list. When an agent is on leave, sick, or simply busy with a transfer, their leads quietly go cold, and the principal only finds out when the listing doesn't sell.
Three habits that fix most of it
- One list for every enquiry
It doesn't matter where the enquiry comes from: it goes onto one list the same day. That can be a notebook at first, but it has to be one place that everyone in the office uses.
- Every lead has an owner and a next step
"Sipho will phone her back on Thursday about the second viewing" is a lead. "Someone phoned about the house in Langebaan" is a lost sale. Before a lead is put down, it gets a name and a date.
- A five-minute pipeline check every Monday
Principals don't need to read every message. They need to see who hasn't been contacted, which leads have gone quiet, and who is waiting on a viewing. Five minutes on a Monday morning catches most of what falls through the cracks.
The best system is the one your agents actually open every morning.
